Cleaning up data in AFAS Profit

It all starts here

Because occur is simply better than cure, First, let me say this. What I often notice is that we do not allow ourselves the time to consider the following issues before setting up the Profit database: 

  • What are you recording?
  • Why are you recording it?
  • Who is it being recorded for and by?
  • What are your long-term plans for the data? 
  • What problem does it solve? 
  • What question does the data answer?

There are, of course, legal obligations for recording personal data under the AVG and General Data Protection Regulation (GDPR). Fortunately, software suppliers – such as AFAS Profit – can help you with this. The tips in this blog are intended for more practical and useful data requirements.

Let data work for you 

First, ask yourself: which processes in the organisation does the data provide answers for? For example:

HR policy states that we must plan ahead with management development and strategic personnel planning. This enables us to achieve the organisation's objectives with competent resources.  

That is why we conduct assessments. We record competencies. We ensure development. We administer training courses, job families and record the career progression of our employees.’  

Are you starting with this HR data-driven question? And do you realise what problems arise when there is a lack of good data? Then you can achieve 100% of your goal! So take enough time in advance to avoid having to clean up data afterwards. That will save you a lot of time and stress. Much more peaceful. 

Lost the data overview? 

Is the stage of occur Is it over? And is there no other option but to cure? Don't worry, there is still hope!  

Would you like to extract data from Profit for reporting purposes? But do you get the impression that it has not been administered correctly over the past year? Or is the employee file no longer clear?  

Do not panic! Seize this opportunity to do it properly. You have the following options: 

  1. Inform the responsible employee that the administration must be done more carefully. Send a digital letter or task instructing them to complete or change the data. And explain why this is important. 
  2. Adjust the current working method. With other fields where necessary. Apparently, the current working method was not clear enough.
  3. Utilise a selection table to prevent free input. For example, provide an additional date field so that you can analyse data more effectively over time. 
  4. In addition to the UpdateConnectors, there is another way to add a large number of records to Profit at once: via an import.
  5. Then clean up the data so that you have more insight and control. You can easily extract all data from Profit and put it back in the right place. Or even enrich it.
  6. Two tools you can use for this are: STKKR & U-Turn. With STKKR, for example, you can call UpdateConnectors with a self-made file. 
  7. With U-Turn, you can create a dataset using various data sources and automate (cleaning) for the long term. Or use it to automate manual work and improve quality.
