The standard templates for AFAS emails are extremely powerful. You can easily use them in all steps in workflows or signals. It is even possible to supplement them with data from AFAS. For example, the name of the recipient in the salutation.
However, there is a limitation. It remains a standard email. That is why I always receive the same request:
A standard template does not always fit... I want to customise my emails myself or decide entirely what I send!
AFAS does not offer this as part of its standard package. However, with a simple trick, you can still achieve this.
1. Use the “Last response” data field for your full email address.
Within AFAS, you can use the “Last response” field.
This field was introduced in an update to provide insight into views and emails.
But what if you use this field for your entire email?
Then the “response” part of the workflow suddenly becomes the entire email. And you have complete freedom to type your email.
2. The setup steps to use “last response”
This is easy to set up. Do the following:
- Link an email to the appropriate workflow step
- Within this email, only set the field “last response” as the value (or create a standard format with this field).
- Require a response in the workflow action where you have linked your email
- Describe in the explanation what the user should do.
3. Valuable addition: combine this with response templates
Complete freedom to type your emails is great. But it gets even better when you also use templates.
You often send the same content-related email for 80%, but you want to make it just a little bit more personal. For example, when rejecting a job application.
By using response templates, you get the best of both worlds. You can insert a template email directly and customise it to your liking.
